Executive Assistant to General Counsel

The position performs support service duties for the Office of The General Counsel (specifically the General Counsel (GC) and Deputy General Counsel (DGC), as well as, the front office senior legal advisors).  Specific details are as follows:

Principal contact and liaison for GC and DGC:

  • Keeps GC/DGC fully apprised on status of assignments, potential problems, and likely remedies.
  • Establishes and maintains positive and effective working relationship with Headquarters personnel, field offices, and other Federal agencies concerned with OGC activities.
  • Ensures effective communication from senior GC officials and senior leaders throughout Department.  Ensures GC, DGC, and other senior GC officials receive appropriate information on a timely manner.
  • Maintains highly professional and confidential dealings with the GC and DGC, as well as senior Departmental officials on a wide range of sensitive issues.

Organize and maintains schedule of GC and DGC:

  • Receives and accepts requests for meetings and appointments.
  • Set up meetings and appointments.
  • Maintains calendar and coordinates with the General Counsel’s schedule, as appropriate.
  • Keeps GC, DGC, and staff apprised of schedule.
  • Provides GC and DGC with daily reminder of current and upcoming appointments.

Designs and maintains records system for GC and DGC:

  • Ensures GC and DGC’s files are appropriately maintained.
  • Retrieves relevant documents based on legally-related subject matter.
  • Conducts research from supervisor’s personal file collection.
  • Ensures that files are appropriately archived or disposed of as required.
  • Maintains and operates GC's Electronic Correspondence Tracking System
  • Assigns/routes correspondence to appropriate office for review and concurrence.
  • Input and maintain files via two electronic tracking systems: GC Concurrence Actions and eDOCS.
  • Tracks and follow-ups as appropriate.
  • Coordinates concurrence and transmits to DGC's and General Counsel for final concurrence.

Receives and conveys electronic and other communications for GC and DGC and performs numerous administrative assignments:

  • At supervisors direction, prepares responses either electronically or by hard copy
  • Conveys to GC/DGC urgent communications requiring immediate attention.
  • Receives and review all incoming and outgoing correspondence for accuracy, completeness, and conformity with Department and GC procedures.
  • Receives telephone calls and visitors.
  • Identifies, informs and briefs GC/DGC of outstanding issues.
